Job Description Summary
The Program Coordinator at Penn Dental Medicine's Center for Integrative Global Oral Health (CIGOH) will provide administrative support to faculty, staff, and program initiatives. This position reports to the Executive Director of CIGOH and is responsible for managing and coordinator all administrative tasks of CIGOH, including research projects, symposia, and conferences, and a Master degree program. The Program Coordinator will work closely with the faculty and external stakeholders with the highest level of professionalism, in an independent and culturally sensitive manner, and addressing daily activities. The Program Coordinator will adhere to standard operating procedures for seamless, high-quality delivery of the Center's initiatives.

Job Description

The Program Coordinator will coordinate the Centers' initiatives and provide support for research initiatives, special events, educational and professional activities at CIGOH.

Job Responsibilities
  • Administrative Responsibilities: This position will perform daily operations of the Center by adhering to Center's workflows. Respond to emails and answer phone calls, monitor mailboxes, manage correspondence, and serve as a point of contact for internal and external stakeholders. In addition, the position will assist in the process of the execution of hiring and visa processing (in collaboration with the University of Pennsylvania International Student and Scholar Services [ISSS]) and lead the Center's outreach. Ensure efficient workflow and contribute to CIGOH initiatives.
  • Scheduling and Organization: Organize and schedule appointments, meetings, and travel arrangements and reimbursements, as well as maintain calendars for the Center's workflow. Manages events including the scheduling, planning, and executing international and domestic conferences, symposia, programs, and meetings in collaboration with the office of the Associate Dean for Leadership Giving and the office of Senior Director of Continuing Education at Penn Dental Medicine.
  • Documentation and Record Retention: Take detailed notes during meetings and assist in the preparation of meetings. Organize departmental records and databases of program details and documentation.
  • Support and Coordination: Under the leadership and the supervision of the Executive Director, the Program Coordinator will assess feasibility of and manage new initiatives and special projects, provide general support to visiting faculty, students, and guests. In addition, implement CIGOH undertakings (eg. update the CIGOH website, academic appointments) and handle sensitive information with confidentiality.
  • Program Administrator - Master of Science in Oral and Population Health (MOPH): This includes setting up meetings to coordinate schedules with faculty and students, initiate contact and email follow up with course faculty, ensure signing of legal agreements, manage the admissions, process, develop instructional methods, coordinate the recording of lectures and practical activities, design and develop curriculum, setting up courses on the educational platform, programming the exam and proctoring, create and circulate evaluations and surveys, data compilation of students' progress, triage and assist students in solving technical or administrative difficulties, facilitate honorarium for the involved faculty.
  • Information Systems: Resolve administrative issues and refine administrative systems to enhance efficiency within CIGOH. Operate software to related to financial management, educational platforms, event planning, and connecting with IT for troubleshooting technical issues.
  • Other duties as assigned.


Qualifications
  • Bachelor of Arts and 2 to 3 years of experience or equivalent combination of education and experience is required.
  • Experience in curriculum development and working with education platforms (eg. Canvas) is strongly preferred.
  • Possess strong organizational skills, excellent written and verbal communication abilities.
  • Demonstrated ability to collaborate effectively in a team setting and exhibit accountability.
  • Ability to quickly assimilate new information in a fast-paced work environment with enthusiasm and ability to multi-task.
  • Demonstrate proactive approach to anticipating the needs of others.
  • Ability to utilize computer software (eg. MS Office, program management software - Smartsheet, Trello) is desirable,
