Position Summary
This position provides essential administrative support and coordination for Health Services. The Administrative Coordinator/Biller works in collaboration across a broad range of responsibilities including support staff for Primary Care and Behavioral Health locations. Ensures coordination, training, certification for HIPAA, confidentiality onboarding and scheduling of work-study staff, and UIW staff ensuring quality service levels are being met or exceeded. The final candidate must be highly motivated, a self-starter and anticipate what must be accomplished.
Initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside UIW Health Services with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds including patients, clients, students, staff members, and employees.
This position is considered a Responsible Employee under Title IX federal regulations and Mandatory Reporter under Texas state law and The UIW Sexual Misconduct Policy. As a Mandatory Reporter this position requires you as the employee to promptly report any incident that you witness or receive information about violating Title IX. These reporting responsibilities are set out in the UIW Sexual Misconduct Policy.

Provide administrative support for daily operations of the practice. Maintain a professional demeanor.
Assist with front desk duties: scheduling, updating electronic health record, verify patient insurance
Interact with outside vendors
Order and maintain office supplies and equipment
Ensure compliance with personnel licensing and continuing education requirements for clinical personnel.
Recruit, screen, hire and train staff and maintain personnel files.
Must have high level organization skills and the ability to multitask under pressure.
Perform all duties in a manner that reflects the highest ethical and professional performance and communication.
Adapt to and work effectively in a heavily bureaucratic environment which requires regular interaction with several levels within the organization and multiple outside agencies.
Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing.
Communicate openly by bringing all student, provider, UIW and UIWSOM community, and broader community issues, concerns, and/or requests to the appropriate person on a timely basis including but not limited to any potential risk management or quality control issues. Ability to exercise sound judgment, discretion, tact, and diplomacy.
Effectively perform work of a highly sensitive and confidential nature that requires access to HIPAA and FERPA information.
Provides systematic and dependable follow up, as well as a high level of organization and preparedness.
Coordinates Health Services programming for UIW, such as information fairs, health fairs, special events, outreach, and standardization of community presentations and promotions.
Complete tasks on time. Use tracking tools to show progress and completion of business and administrative tasks.
Provides sophisticated calendar management for Director of Clinical Health.
Prioritizes inquiries and requests while resolving conflicts with little guidance.
Takes notes/minutes and distributes meeting minutes, agendas and meeting packages.
Arranges complex and detailed travel plans and itineraries, compile documents for travel-related meetings.
Types memos, purchase requisitions, payment requests and other department forms and documents. Retains and maintains documents.
Perform billing tasks, including generating bills, imputing EOB information, monitoring insurance and government payors for prompt receipt of money, create appeal documents and coordinate with the outside billing consultant.
Serve as a liaison between patients and clinical staff and work toward ensuring efficiency and excellent customer service. Manage clinic grievances.

Management of data reports; quarterly volume and revenue reports.
Creates and maintains database and spreadsheet files.
EMR support for staff and providers, billing data analysis, and creation of reports.
EMR and billing follow up with billing agency to track denials, and balance billing.
Maintains records, files, policies and procedures as required by American College Health Association (ACHA) Standards; revises same as indicated by Medical Director or ACHA accreditation.
CLIA Lab Certification management with staff
Completes credentialing and privileging for all providers in the clinic.
Monthly patient satisfaction survey data analysis
Knowledge Skills and Abilities
Demonstrates effective time management skills and ability to meet deadlines.
Ability to tolerate exposure to short, intermittent, and/or prolonged periods of sitting and/or standing in performance of job duties.
Must be familiar with AAAHC Accreditation.
Ability to work effectively with individuals from diverse communities and cultures.
Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.
Required Education
Bachelors degree with three years of medical office management and EMR experience
Required Work Experience
Requires knowledge and high level of proficiency of Microsoft Office Suite.
Three to five years medical office, billing and EMR experience
Three years of experience in a university or health profession school setting
Preferred Qualifications
Prefer Masters in Health Administration
Ability to communicate effectively in both English and Spanish.

Work Hours
8:00 am 5:00 pm primarily on UIW Broadway campus.
Physical Demands
Ability to tolerate exposure to short, intermittent, and/or prolonged periods of sitting and/or standing in performance of job duties. The employee must occasionally lift and/or move up to 20 pounds.
