Job Description
The Admin Support Assistant position is expected to provide customer service and support to all the stakeholders who need assistance from the Student Health Administrative staff including eligible students, co-workers, other department personnel, and visitors. The position shall provide administrative support for the Associate Director in areas such as personnel records maintenance, preparation of reports and special projects. The chosen applicant will work collaboratively with the graduate student insurance personnel regarding referral management, invoice reconciliation, and the waiver opt-out duties. Provides administrative support for the receipt and recording of immunization records for all new incoming students.


Responsibilities
  • Administrative support duties for the administrative office including assistance in answering the telephone and directing calls, filing, preparation of reports, serving as backup cashier, and provision of customer service for all who enter the administrative office.
  • Insurance administration responsibilities include the submission of referrals for eligible students who are referred to outside medical providers for treatment. Review of enrollment and eligibility for enrollment in the graduate student insurance program. The review of comparable coverage from other insurance providers to meet the minimum requirements of the University of Tennessee insurance plan.
  • Serves as the primary administrative support for the Associate Director. Ensure all personnel records are up to date. Licensure and credential records are maintained as required by accreditation standards. Assists in the preparation of special reports as needed. Maintains paper and electronic records in an organized and logical manner.
  • Participate in new student orientations and can answer questions relating to insurance, eligibility, billing, immunization requirements, and services offered at the Student Health Center.

Qualifications
Required Qualifications
  • Education: Associate degree required.
  • Experience: Minimum of three years of experience in a business office setting. Must have experience in organizational duties and being detailed oriented.
  • Knowledge, Skills, Abilities: Must have knowledge of basic bookkeeping. Must have the skill of being detailed oriented and strong organizational skills. Must always maintain confidentiality. Must have the ability and desire to learn different software programs, must have strong computer skills and experience working in Microsoft Office programs especially Word and EXCEL. Must possess and practice good listening and communication skills. Must be willing to work and provide customer service for all individuals from diverse backgrounds and cultures. Must have knowledge of basic medical terminology.

Preferred Qualifications
  • Education: Bachelor's degree
  • Experience: Preference will be given to the individual who has three to five years' experience in a medical office. Experience in working with medical billing, medical insurance, and preparation of reports within a medical environment.
  • Knowledge, Skills, Abilities: Prefer someone who has knowledge of health insurance standards, medical coding, billing, documentation and HIPAA requirements.
